Sponsorship flyer maker

A sponsorship flyer is a one-page summary of your event and the sponsorship levels you sell, with a price, benefits and a contact for each. SponsorFlo’s free sponsorship flyer maker turns your event details and tiers into a printable flyer you can save as a PDF on US Letter or A4 and send to prospective sponsors.

Haven’t set your levels yet? Start in the sponsorship tier builder and carry your tiers over.

What goes on a sponsorship flyer?

A sponsorship flyer needs six things: the event, why to sponsor it, who attends, every tier with its price and benefits, who to contact by when, and your branding. The flyer maker lays them out in that order.

  1. 01

    The event, in one line

Name, date, location and who is hosting, at the top where a busy business owner reads first.

  2. 02

    Why sponsor

Two sentences on the cause or the experience, such as what the money pays for at a charity 5K.

  3. 03

    Who will be there

Expected attendance and who attends, because a sponsor is buying access to that crowd.

  4. 04

    Every tier, with a price

The title sponsor on its own, then each level with its price, how many are available, and its benefits.

  5. 05

Who to call, and by when

A named contact, an email and phone number, and a commit-by date so the decision has a deadline.

  6. 06

    Your logo and colors

So the flyer looks like it came from your event when it lands in an inbox or on a desk.

What is a sponsorship flyer?

A sponsorship flyer is a one-page sales sheet that tells local businesses what your event is, who attends, and which sponsorship levels they can buy, with prices and benefits for each. It is also called a sponsorship opportunities flyer or a sponsor sheet.

Its job is to start a conversation: a business owner should be able to read it in under a minute and know which level fits their budget and who to call.

What is a sponsorship prospectus?

A sponsorship prospectus is the longer version of a sponsorship flyer: a multi-page document that adds audience detail, results from past events, the full list of sponsorable assets, and the terms of each package. Conferences and trade shows usually publish one, and bigger sponsors often ask for one before they commit.

Most events need both. Send the one-page flyer to start the conversation, then follow up with a prospectus, proposal or deck tailored to the sponsor who replies.

Worked example

A sponsorship opportunities flyer for a charity 5K

The Northside Food Pantry runs a Thanksgiving morning 5K for about 800 runners and wants $25,000 from sponsors. The flyer leads with the race, the date and what the money pays for, then puts the title sponsorship on its own line so the biggest decision is the first one a reader sees.

Below it sit the 3 other levels, from a finish line sponsor at $6,500 to 2 water station sponsors at $1,800. If every slot sells, the race raises $25,100. The flyer closes with one named contact and a commit-by date about six weeks before race day, so sponsors are confirmed in time to print shirts.

A fictional event with placeholder contact details. Pick “5K or fun run” in the flyer maker to start from it.

Questions

Is the sponsorship flyer maker free?

Yes. The flyer maker is free and needs no signup. Fill in the form, then save the flyer as a PDF from your browser’s print window.

How do I save the flyer as a PDF?

Click “Save as PDF”, then choose “Save as PDF” as the destination in the print window. If your browser shows a “Background graphics” option, turn it on so the colored header prints.

Is my flyer saved or uploaded?

No. Everything, including your logo, stays in your browser and nothing is sent to SponsorFlo. The flyer is not saved between visits, so save the PDF before you close the page, or copy the flyer text as a backup.

Can I use my own sponsorship tiers?

Yes. Edit the tiers on the flyer directly, or build them first in the free sponsorship tier builder and choose “Make a flyer from these tiers” to bring them over.

What if my flyer runs onto a second page?

The flyer maker warns you when the content no longer fits. Shorten the pitch, cut benefits to the three or four that matter most, or remove a tier. A flyer that fits on one page is easier to read than one that does not.

Can I make a full sponsorship prospectus here?

The flyer maker makes the one-page version. For a longer prospectus or proposal, start from the sponsorship proposal templates. In SponsorFlo, Deck Studio builds a branded sponsorship deck for each prospect from your packages and tracks when they open it.

Sponsorship flyers and prospectuses: the complete guide

Sponsorship flyers and prospectuses: how to write, design and send them

A sponsorship flyer has one job: get a business owner to call you about a sponsorship level that fits their budget. This guide covers how to write the copy, how to lay out a one-page flyer, when a longer sponsorship prospectus is the better tool, and how to send either one, so the free SponsorFlo flyer maker above produces a flyer that gets replies.

Definition

Sponsorship opportunities flyer

A one-page document that describes an event, its audience, and the sponsorship levels for sale, with the price, availability and benefits of each, and a contact for questions.

How do you write a sponsorship flyer?

  1. Lead with the event name, date and place in the header, where it is read first.
  2. Write two sentences on why to sponsor: what the event is and what the money pays for.
  3. State expected attendance and who attends, in plain numbers and plain words.
  4. List the tiers from the title sponsor down, each with its price, how many are available, and three to five benefits.
  5. Close with one named contact, an email and phone number, and a date to commit by.

How should a one-page sponsorship flyer look?

  • Use one accent color, ideally your event’s own, so the flyer looks like it came from you.
  • Give the title sponsorship its own full-width spot so the biggest decision stands out.
  • Show every price. A flyer that says “contact us for pricing” asks the reader to do work before they are interested.
  • Leave white space between tiers so each one can be read at a glance.
  • Print a test copy before you send it, and check that the colored header prints.

When should you send a sponsorship prospectus instead of a flyer?

Send a sponsorship prospectus when the sponsor needs more than a page to decide: a conference pitching exhibitors on a full expo hall, an event asking a regional company for a five-figure title sponsorship, or a sponsor whose marketing team asked for audience detail and past results. For most local businesses, the flyer plus a short conversation is enough.

How do you send a sponsorship flyer?

Attach the PDF to a short personal email that names the business and the tier you think fits them, rather than sending the same message to everyone. Bring printed copies to chamber events and in-person visits. Follow up once with anyone who has not replied, and send a fuller proposal or deck to the sponsors who do. In SponsorFlo, Deck Studio builds that follow-up deck from your packages and shows you when the sponsor opens it.

The flyer opens the door. The deck closes it.

In SponsorFlo, Deck Studio builds a branded sponsorship deck for each prospect from your packages, sends it as a tracked link, and shows you when they open it.
